Version 3.0
Signup & Consent
Effective and last updated: 20/09/2026
The wording used when people join the waitlist, create an account, and choose whether to receive marketing updates.
This guide provides ready-to-use wording for CrewD's waitlist, account sign-up and email flows, so that what users see on the platform lines up with the Platform Terms of Use and the Privacy Policy. The wording shown in the shaded boxes can be used as drafted or adapted to suit your interface. Text shown in square brackets is a link to the named document or page, or a button.
Two laws mainly shape this wording: the Privacy Act 1988 (Cth), which requires you to tell people what personal information you collect and how it is handled at the time you collect it; and the Spam Act 2003 (Cth), which requires consent, sender identification and a working unsubscribe facility for marketing emails.
How consent and notice work
Marketing emails, such as launch announcements and promotional messages, require the recipient's consent, must identify CrewD as the sender, and must include a working unsubscribe facility. These are requirements of the Spam Act.
At the point you collect a person's details, you should make the Privacy Policy available and let the person know their information is handled in accordance with it. This supports your obligations under the Privacy Act.
Keep marketing consent separate from acceptance of the Terms of Use. A person should be able to create an account and use CrewD without agreeing to receive marketing. Acceptance of the Terms is a condition of using the platform; marketing consent is a separate, optional choice.
Keep a record of each consent and each acceptance, including the date, the wording shown to the person, and how it was given. This is your evidence of consent if it is ever questioned.
Waitlist sign-up
Because the purpose of joining the waitlist is to be notified about CrewD, consent to those emails is best captured as part of the sign-up itself. The following wording is recommended:
Join the waitlist Enter your email to be first to know when CrewD launches. By joining the waitlist, you agree that CrewD may email you about our launch, product updates and offers. You can unsubscribe at any time using the link in any email. To see how we handle your information, read our [Privacy Policy]. |
If you would prefer an express, ticked opt-in, you can use a separate checkbox instead. Note that if the person does not tick it, you should not email them, which would leave you no way to tell them about the launch:
☐ Yes, I would like CrewD to email me about the launch, product updates and offers. I can unsubscribe at any time. We handle your information in line with our [Privacy Policy]. |
A confirmation step, where the person clicks a link in a first email to confirm their address, is optional but is good practice and improves the quality of your list.
Account sign-up: Terms and Privacy Policy
Acceptance of the Terms of Use should be an active step that the person takes before their account is created. The following wording, shown immediately above the sign-up button, is recommended:
By creating an account, you agree to CrewD's [Terms of Use] and confirm that you have read our [Privacy Policy]. [ Create account ] |
If you prefer a required checkbox, the person should have to tick it before they can continue, and it should not be pre-ticked:
| ☐ I agree to CrewD's [Terms of Use] and I have read the [Privacy Policy]. |
Record the date and the version of the Terms the person accepted, so you can show what they agreed to.
Optional marketing opt-in at sign-up
If you would like to invite users to receive marketing when they create an account, use a separate, optional checkbox that is not pre-ticked. It must not be a condition of creating an account:
| ☐ Email me CrewD news, tips and offers. This is optional, and you can unsubscribe at any time. |
Age confirmation
The Terms of Use and Privacy Policy are written on the basis that users are at least 16, and that users who are 16 or 17 use the Platform with the consent of a parent or guardian. An express confirmation at sign-up is recommended, together with a further confirmation shown to anyone who indicates they are 16 or 17. Where a person indicates they are 16 or 17, capture the parent or guardian's agreement to the Terms of Use and their consent to that person's use of the Platform, and keep a record of it:
☐ I confirm that I am at least 16 years old. ☐ If I am 16 or 17, I confirm that my parent or guardian has reviewed and agreed to CrewD's [Terms of Use] and consents to my use of the Platform. |
Promotional email footer
Every marketing email must identify CrewD and include a working unsubscribe link. The following footer wording meets both requirements:
This email was sent by CrewD Pty Ltd (ABN 39 698 048 270), 65 Walkers Lane, Bright VIC 3741, Australia. You are receiving this email because you joined the CrewD waitlist or created a CrewD account. If you no longer want to receive these emails, you can [unsubscribe] at any time. Read our [Privacy Policy]. |
The unsubscribe facility should stay active for at least 30 days after the email is sent, and a request to unsubscribe should be actioned within five business days. Do not require the person to log in or provide anything more than is necessary to unsubscribe.
Unsubscribe confirmation
When a person unsubscribes, confirm it clearly and let them know that essential service messages will continue:
You have been unsubscribed. You will not receive any more marketing emails from CrewD. We will still send you essential messages about your account and any work you are involved in through the platform. |
Service messages and marketing messages
Messages that are necessary to operate the platform, and that relate to a person's own use of it, are service messages and do not need marketing consent. Messages whose main purpose is to promote CrewD are marketing messages and do need consent. The table below shows the distinction:
| Service messages (no marketing consent needed) | Account verification and security, application updates, offers, confirmed-hire notifications, changes to the Terms of Use or Privacy Policy, and responses to enquiries. |
| Marketing messages (consent needed) | Launch announcements, newsletters, product updates sent to promote CrewD, offers and promotions, and re-engagement emails. |
Take care that a service message does not become a marketing message by including promotional content. If a single message does both, treat it as marketing.
Record-keeping checklist
For each person, keep a record of:
the date they joined the waitlist or created an account, and the email address they provided;
the marketing consent they gave, including the wording shown and whether a checkbox was ticked;
the date and version of the Terms of Use they accepted, and confirmation that they were shown the Privacy Policy, together with the age confirmation given and any parent or guardian consent obtained for a person who is 16 or 17;
any later change to their marketing preferences, including unsubscribes, and the date of the change; and
the wording of each version of these notices, so you can show what was in force at any given time.
